  Responsibilities & Powers of Administrative Staff  
 

1. Director

 
  Subject to the supervision and general control of the University, the Principal of a constituent college, shall be responsible for:  
 

1.

Academic growth of the college/institute

2.

Supervision of and active participation in Teaching, Research, and Extension services of the college/institute

3.

Promotion and Supervision of academic programs such as orientation courses, seminars, in-service and other training programs, organized by the University/college/institute for enhancing academic competence of the faculty members.

4.

Admission of students in accordance with the procedure prescribed by the University.

5.

Maintenance of discipline of the college/institute;

6.

Ensuring efficient management of the college/institute libraries, laboratories, hospitals, gymnasium and hostels.

7.

Ensuring maintenance of records relating to receipts, expenditures and maintenance of accounts and submission of quarterly statements of accounts to the University.

8.

Observance of provisions of the Accounts Code of the University.

9.

Correspondence relating to the administration of the college/institution;

10.

Administration and supervision of curricular, co-curricular/extra-curricular or extra-mural activities, and welfare activities of the college/institution and maintenance of records.

11.

Observance of Byelaws and Rules and Orders issued there under by the University from time to time.

12.

Submission of half-yearly reports of all activities (academic, research, extra-curricular and administrative) to the University.

13.

Supervision of college/institute examinations, including that of setting of question papers, for the college/institute examinations, moderation and assessment of answer papers and other related work.

14.

Supervision of work related to University examinations, as may be assigned.

15.

Appraisal of Assessment Reports of teachers and administrative staff and initiation of measures for human resource development.

16.

Observance and implementation of directives issued by respective central councils and the University from time to time.

17.

Any other work relating to the college as may be assigned to him/her by the University from time to time.

 
     
  2. Assistant Registrar (Finance & Administration):  
 

1.

He shall be the Chief Administrative Officer of the Institute. He shall be work directly under the direction & control of the Director.

2. Act as custodian of the records, the common seal of the institute and such other property of the institute.
3. Conduct the official correspondence on behalf of the authorities of the Institute.
4. Represent the institute in suits or proceedings by or against the institute.
5. Admission of students in accordance with procedure prescribed by the University & maintenance of discipline in the institute.
6. Correspondence relating to the administration of the institution.
7.

Supervise the work of overall Administration section, custodian of personal files, records and maintain all service books by making timely entries up to date.

8.

He shall monitor probation period and release increments as well as maintain confidential records of teaching and non teaching staff.

9. He shall monitor vacancies and initiate all actions leading to selection and issue of orders.
10. Any other duties assigned by the Vice Chancellor from time to time.
 
     
  3. Accountant  
 
1.

Exercise supervision over the funds of the Institute and advice the Registrar / O.S. as regards the financial matters of the institute.

2.

Prepare annual estimates, budget and statements of account for submission to the Finance Committee & Board of Management as per the requirement of the University.

3.

Ensure that the limits fixed in the budget estimates of the institute for recurring expenditure for the year are not exceeded, and that all allocations are expended for the purposes for which they are granted or allocated.

4.

Keep watch on state of the cash and bank balances.

5.

Keep watch on progress of collection of revenues and advice the Registrar / O.S. on the methods to be employed for collection.

6.

Verify supplier's bills, scrutinized statement of expenses against advances, scrutinize and process refund applications from students.

7.

Follow-up fine collection & maintain cheque issue register, arrange to deposit cash in banks and withdrawals when necessary.

8.

Maintain all necessary accounts books required for annual audit as per requirement & keep it up dated with the help of his assistance.

9. Maintain monthly receipts & payments statement, ensure monthly bank reconciliation statement and organize annual audit.
10. Ensure preparation and timely submission of monthly salary reports and claims of visiting staffs.
11. Issue "NO DUES" certificate, Salary Certificate to staff as per their requirement.
12.

He shall be responsible for Income Tax deduction from staff salary, payments to suppliers etc & issue TDS certificates to them.

13. He shall be responsible for preparation & submission of Form No 24 Q & Form No. 26 Q, i.e. Income Tax returns.
14. Any other duties assigned by the Registrar / O.S. from time to time.
 
     
  4. Store Keeper  
 
1. Maintenance of stock & its disbursement.
2. Receiving of material by checking against delivery challan (quantity) & quality to be checked by HOD.
3. Entry of received material in GPR (General Purchase Register).
4. Issue material as per requirement by making entries in Indent Book.
5. Maintain statutory record required for store control.
6. Making arrangement for internal & annual stock checking & verification from time to time.
7. Maintain catalogues, price lists, and quotations for proper placement of orders.
8. Placing orders & making arrangements for proper follow up for execution of the same.
 
     
  5. Accounts Clerk / Cashier  
 
1. Preparation of cash payment vouchers, bank vouchers, journal vouchers, various receipts etc.
2. Keep record of various fees received from students from time to time.
3. Preparation of cheques for all payments after duly verified.
4. Co-ordinating with bank for preparation of demand drafts for release of funds.
5. Issuing cheques books from the bank as and when required.
6. Daily closing of cash balances & maintain daily cash book.
7. Maintain reasonable cash in hand as per specified limit.
8. Recording daily transactions in the books of accounts.
9. Timely deposition of cheques and demand drafts in the bank and ensure safe custody of cheque books, deposit slips etc.
10. Any other duties assigned by the Accountant from time to time
 
     
  6. Librarian  
 
1. Maintenance general discipline in library.
2. Making list of books/Journals to be purchased.
3. Following the procedure to purchase the books.
4. Helping faculty and students to get relevant information from net.
5. Cataloging and classification of books.
 
     
  7. Placement Officer  
 
1. Creating database for companies.
2. Contacting companies HR division and create necessary material for them.
3. Arranging Campus Interviews.
4. Making database for passed out students and their placement.
5. Preparation necessary material for helping students for higher studies and Project.
